1. Who we are

Ringlio AI ("Ringlio", "we", "us") is a Perth, Western Australia business that builds owner-trained AI for local businesses — across trades, real estate, healthcare, beauty, hospitality and professional services. This policy covers the Ringlio website, demos, and any AI agents we deploy on your behalf.

2. What we collect

From visitors to this website

  • Information you submit when you contact us — your name, email address, phone number and the contents of your message.
  • Standard server logs (IP address, browser, pages viewed, time of visit) used for security and to understand traffic patterns.
  • Anonymous usage analytics, where used, to understand which pages help visitors most.

From our customers

  • Business information you provide during owner discovery: services, pricing, hours, escalation rules, FAQs, tone and phrasing.
  • Recordings or transcripts of the discovery interview, used to train your Ringlio agent.
  • Account and billing details required to operate the service.

From end-customer interactions handled by your Ringlio agent

  • Inbound text-based messages handled by your agent (website chat, SMS, and missed-call SMS replies). Ringlio does not answer voice calls — when a call is missed, the follow-up is delivered as an SMS.
  • Booking requests, contact details and any information your customer voluntarily shares in conversation.
  • Conversation transcripts retained so we can review and refine reply quality on your behalf.

3. How we use this information

  • To respond to enquiries and demo requests.
  • To train, operate and continuously refine the AI agent we built for you.
  • To handle bookings, information requests, confirmations and follow-ups via the integrations you authorise (calendar, SMS provider, etc.).
  • To meet our legal, accounting and tax obligations.
  • To diagnose and prevent abuse, fraud, or service errors.
We do not sell your data. We do not share customer data or end-customer conversations with third parties except for the sub-processors listed below, and only as required to deliver the service to you.

4. Sub-processors

To operate Ringlio we use a short list of vetted third-party providers. Each handles a specific function and is bound by data-protection terms at least as strict as this policy.

  • Cloud infrastructure — Amazon Web Services (Sydney region) and Google Cloud Platform, for hosting, storage and networking.
  • AI model providers — Anthropic and OpenAI business-tier APIs, with data-retention controls configured to exclude customer data from provider training.
  • SMS delivery — Twilio, for inbound and outbound SMS handling.
  • Calendar & scheduling — Google Calendar API and Microsoft Graph (Outlook Calendar), used only with your explicit authorisation.
  • Email delivery — Postmark, for transactional and notification email.
  • Analytics — privacy-respecting, aggregated analytics for this website only.

We will notify active customers by email in advance of any material change to this list. For specific contractual terms with any sub-processor, email hello@ringlioai.com.

5. Data location and retention

  • Customer business data and end-customer conversations are stored in Australian cloud regions by default, with limited replication to US regions where required by an AI model provider.
  • Conversation transcripts and training data are retained for the active term of your subscription only.
  • On termination of your subscription, all services end immediately. Your agent is stopped, live transcripts cease being written, and customer business data, training data and conversation transcripts are permanently deleted from production systems within 7 days. Encrypted backups age out on our standard schedule (no longer than 30 days).
  • Website contact submissions are retained for as long as needed to respond to the enquiry and to maintain a record of the correspondence.

6. Your rights

Under Australian privacy law and where applicable internationally, you can:

  • Ask what personal information we hold about you.
  • Request correction of inaccurate or out-of-date information.
  • Request deletion of your information, subject to legal record-keeping obligations.
  • Withdraw consent for non-essential processing at any time.
  • Lodge a complaint with the Office of the Australian Information Commissioner if you believe we have mishandled your data.

7. Cookies

This site uses essential cookies for basic functionality and may use anonymous analytics cookies to understand site usage. We do not currently use advertising cookies. You can disable cookies in your browser; the site will continue to function.

8. Security

We follow the practices described in our Security policy — encryption in transit and at rest, least-privilege access, and prompt patching. No system is completely secure; we will notify affected customers without undue delay if a breach is identified.

9. Changes to this policy

We will update this page when our practices change. The "last updated" date at the top reflects the most recent revision. Material changes will be notified to active customers by email.
